How to use Hello Audio for Virtual Summits, an honest review and step-by-step breakdown.

How I Use Hello Audio for Virtual Summits (Step-by-Step)

I’ve hosted multiple virtual summits over the years, and for a long time, that meant Zoom calls. It was all so exhausting. Then I switched to audio-only summits using Hello Audio (HA), everything changed.

Attendees finished sessions on their morning walks. Speakers showed up relaxed because there were no slides to prep. And I wasn’t glued to my screen for hours managing live calls.

At my last Grants For Creators Virtual Summit, one attendee messaged me after saying she’d knocked out five sessions before 9 a.m., something she’d never done with a video summit.

I’m now planning my second audio summit with Hello Audio, so I’ve tested my fair share of workarounds and integrations. What I can share is my honest, experience-based breakdown of why it’s become a core tool for running virtual summits, and exactly how I use it, step by step.

How To Host an Audio-Only Summit

Hello Audio creates a private podcast feed your summit attendees can access through their favorite podcast apps, like Apple Podcasts, Spotify, or Overcast. Each attendee gets their own private podcast feed. Alternatively, you can share a simple listening webpage for anyone who doesn’t want to use podcast apps.

Both options make it incredibly easy for attendees to tune in wherever they are – while walking, commuting, traveling, or multitasking.

After some trial and error, I much prefer the latter option since you run into fewer tech issues – this is one of the important lessons learned, and changes I plan to make the next time I run a private podcast.

Now, here are the five important reasons why Hello Audio is a game-changer for summit hosts.

1. Schedule Flexibility

Schedule when episodes (a.k.a. summit sessions) drop and when they expire.

That means you can drip-feed content day by day or release everything at once for binge-listening.

For my 2-day Grants For Creators Virtual Summit, I set day 1 sessions to automatically release at 7 a.m. and expire within 24 hours – no manual work from me beyond setup.

2. Built-In Monetization

While you can accept payments right through Hello Audio with Stripe, just note there isn’t an option for promo codes or the ability to add upsells or bump offers. So, if you are running a paid event and want to increase each attendee’s order value, this may not be the best solution.

As a workaround, set up a sales page with ThriveCart to collect payments, then use its integration to automatically give attendees access to Hello Audio after their purchase. This connects payments to private podcast delivery without relying on Hello Audio’s built-in checkout.

3. Kit Integration

A heads-up, the Kit + Hello Audio integration didn’t work perfectly 100% of the time during my summit.

A handful of attendees didn’t receive their feed link automatically and needed manual help.

Build in buffer time before your event starts, and keep Hello Audio’s AI chatbot and support bookmarked.

That said, for the majority of attendees, the automation worked perfectly, and that saved me from manually managing registrations.

Here’s how it works: the moment someone registers for your summit through a Kit form or landing page, they’re automatically tagged in Kit and assigned their unique Hello Audio private podcast feed.

No manual imports. No copy-pasting emails.

Are the issues frustrating? Yes, but Hello Audio’s automated scheduling and screen-free listening experience far outweighed the hiccups I encountered.

4. Remastering Feature

Want to clean up your audio or improve the listening experience for attendees?

Hello Audio includes 10 audio remastering credits per month, which clean up files quickly and save hours of editing time.

Now, here’s a walkthrough of how I use Hello Audio to run my events.

Step 1: Pick Your Feed Type (Control Who Gets Access)

Start by choosing the private podcast feed option. This is ideal for summits because it allows you to control who gets access and when.

For example, keep your summit exclusive by limiting access to registered attendees or paying participants only.

Helpful Tip: Wondering what HA plan you should consider? For most summits, the Starter Plan is more than enough since it includes one private feed with unlimited episodes and listeners.

Step 2: Upload Your Summit Cover Art

Next, upload your summit cover art.

This is what attendees will see in their podcast app, so treat it like your summit “stage.”

Make sure your artwork is square, clear, and branded, just like podcast artwork.

This small detail goes a long way in making your summit feel polished and professional.

Step 3: Upload Speaker Sessions as Episodes

Each summit session becomes its own audio episode. Upload the files, add episode titles, speaker names, links to resources, and short descriptions so attendees know what they’re listening to.

Step 4: Automate Everything

This is my favorite part — Hello Audio practically runs the summit.

Schedule:

  • Exactly when each session drops
  • When access to sessions expires or the entire feed disappears

For example, release all sessions at 9 a.m. and have them automatically expire at midnight. No manual work. No last-minute scrambling.

This is the part that sold me. I set up my summit automation in an afternoon and didn’t touch it again until the event was over. If that sounds like the kind of tool your business needs, [start your 7-day free trial here] — no commitment required.

Step 5: Connect Email + Payments

Communicate with summit attendees every step of the way, from leading up to your event all the way to the wrap-up and feedback.

Consider preparing an automated onboarding sequence in Kit and scheduling emails to go out when the summit starts and when new sessions are available.

You can integrate Hello Audio with:

  • Kit (for email tagging and automation)
  • Stripe (to accept payments)
  • Zapier (to connect other tools)

Step 6: Share Access with Attendees

Attendees can listen to the private podcast feed using:

  • Apple Podcasts
  • Spotify
  • Overcast
  • Or a simple listening webpage (no app required)

Step 7: Offer Transcripts (Optional Upgrade)

If accessibility is important to you, you can offer episode transcripts. This is a great value-add for attendees who prefer reading or need accommodations. I used a third-party transcription tool and included links to transcripts in each episode.

Step 8: Monitor Analytics

Curious about which sessions are most popular or whether a particular attendee listened in? You can find all this information conveniently in your dashboard.

Thanks to HA, I was able to reach out to each speaker with the exact number of people who tuned in to their session – very helpful feedback!

Hello Audio May NOT Be Ideal If You:

  • Need upsells, order bumps, or promo codes on sales pages
  • Want heavy customization or complex funnel logic

But if you’re running a simple, content-first event and want automation without tech headaches at an affordable price point, it’s hard to beat.
